Check passport validity

Many countries require a passport valid for at least six months after arrival, with blank pages for stamps. Check expiry dates as soon as the trip is planned.

Confirm visa requirements

Requirements depend on the traveller's nationality, destination and reason for travel. Confirm them early, as some visas take weeks to process.

Gather supporting documents

Invitation letters, hotel confirmations and return tickets are often requested at the border or with a visa application. Keep them together in one folder.

Keep digital copies

Save scans of passports, visas and bookings somewhere the traveller and your team can reach. If a document is lost, a copy makes replacing it much faster.
